Invoicing FAQs
What must an invoice include in Spain?
Number and series, issue date, the name or company name, tax ID (NIF) and address of both issuer and recipient, a description of what you are invoicing, the taxable base, the VAT (IVA) rate and amount and, if it applies, the income tax (IRPF) withholding. If the transaction is VAT-exempt, you must state why. These are the requirements of Spain's invoicing regulations (RD 1619/2012).
What IRPF withholding do I put on my invoice?
If you are a self-employed professional invoicing a company or another freelancer, the standard withholding is 15%. In the year you start and the two following years you can apply 7%. No withholding applies to private individuals.
Which VAT rate do I apply?
The standard rate is 21%. Some goods and services are at 10% or 4%, and certain activities (healthcare, education…) are exempt. If in doubt, ask your tax advisor (gestor): Taxaia lets you choose the rate on each line.
Is it really free?
Yes. Creating, downloading as PDF and sending your invoices is free, with no expiry and no card. You only pay if you want the AI automations: expenses, bank reconciliation and quarterly prep.
Do I need to sign up to create the invoice?
Not to prepare it: the draft is saved in your browser with a preview. To issue it with a final number, download it or send it, we only ask for your email, with no password.
Are my invoices VERI*FACTU-compliant?
Yes. Every invoice issued in Taxaia creates its invoicing record with a fingerprint chained to the previous one, as RD 1007/2023 requires, ready for the mandatory timetable planned for 2027.
