Terms of service

Last updated: 3 October 2026

This English version is provided for convenience. In case of any discrepancy, the Spanish version prevails. Read the Spanish version.

These terms are the contract between you and Alberto Soler Palau, owner of Taxaia, for using the web application, the mobile application, the Telegram bot and the other features of the service. You accept them when you create an account or join an organisation you have been invited to.

They are written to be read. If anything is unclear, write to us at hola@taxaia.es before accepting them.

1. Who provides the service and who it is for

The service is provided by Alberto Soler Palau, tax ID (NIF) 43149579S, with address at Julia Vicenç 26, 07181 Bendinat, Calvià, Illes Balears, España. Full details are in the legal notice.

Taxaia is designed for freelancers, professionals and small businesses who use it in the course of their business activity. By accepting these terms you declare that you act in that capacity and not as a consumer. If you are a tax advisor (gestor) invited by a client, you act on behalf of your firm.

2. Account, organisation and access

  • Each account belongs to one person. You sign in with a link sent to your email or with your Google account. You are responsible for protecting access to your email and for telling us if you think someone has accessed your account.
  • Data lives in an organisation. Whoever creates it is its owner and decides who joins, with which permissions and which connectors are enabled. The owner is responsible for the acts of the people they give access to.
  • You can share the quarterly close with your tax advisor through a link with a key. That link gives access to what it shows, until it expires, to anyone who has the link and the key. Treat it like a password.
  • You must give us truthful tax details for your organisation: name, tax ID (NIF) and address. They are used on your invoices and in submissions to the Spanish Tax Agency (Agencia Tributaria).

3. What the service includes

Taxaia offers invoicing and quotes, expense management, an inbox that receives documents by upload, email, Telegram or the mobile application, bank reconciliation, the quarterly close, draft tax returns (modelos), a portal for your tax advisor and artificial intelligence assistants that prepare proposals. What each plan includes is detailed in section 4 and on the pricing page.

We may add, change or withdraw features. If we withdraw a feature that is relevant to the plan you pay for, we will give you 30 days' notice and you may cancel at no cost.

4. Plans, pricing and free trial

  • Invoicing is free, with no time limit and no card: invoices, clients, PDFs with your branding and sending by email.
  • 30-day trial of the paid plans, with no card. It counts from when you create the organisation. If it ends without you subscribing, your data is kept and you can keep viewing it and invoicing, but the paid features become read-only.
  • Taxaia Control, €19.90 a month, and Taxaia Fiscal, €39.90 a month. Prices exclude VAT (IVA). No lock-in.
  • Launch offer: the first 50 organisations to activate a paid subscription pay €9.90 (Control) or €19.90 (Fiscal) for their first 6 paid monthly instalments. The place is allocated when the subscription is activated, not at sign-up. Changing plan does not restart the window. When it ends, it moves to the normal price automatically.
  • Billing is monthly and in advance through Stripe, by card. The subscription renews automatically every month until you cancel it. You can cancel whenever you like from the payment portal; cancellation takes effect at the end of the month already paid and we do not refund periods that have started.
  • If a payment fails, we will let you know and retry it. While the non-payment lasts, the paid features become read-only. We do not delete data for non-payment.
  • You can change plan at any time. Upgrading applies immediately, with the proration shown in the payment portal. Downgrading applies at the next renewal.
  • If we change prices, we will give you 30 days' notice. The new price applies from the first renewal after the notice. You may cancel before then at no cost.
  • We issue an invoice for every charge; you will find it in the payment portal.

5. Artificial intelligence: it proposes, you approve

  • Taxaia's assistants read documents, categorise expenses, prepare the close and draft documents. Their results are proposals. No action with an accounting or tax effect, or that sends anything to third parties, is carried out without the approval of a person in your organisation, except those you yourself set up as automatic within the limits offered by the application.
  • Artificial intelligence makes mistakes: it may misread an amount, pick the wrong category or apply a rule incorrectly. You must review what you approve. You remain the taxpayer and the person responsible for your invoices, books and tax returns.
  • Taxaia, including the Fiscal plan, does not provide tax advice and does not replace an advisor. It prepares information, drafts and general criteria in line with Spanish regulations; it does not know your whole situation. For specific questions, consult a professional.
  • We do not use your data to train models. The artificial intelligence providers involved are on the list of sub-processors in the data processing agreement.

6. Invoicing and VERI*FACTU

  • Taxaia is a computerised invoicing system adapted to Royal Decree 1007/2023 and Order HAC/1177/2024. The owner signs the responsible declaration (declaración responsable) as producer of the system. You, as a user, are responsible for using it in line with the regulations and for the data you enter being correct.
  • An issued invoice cannot be changed or deleted. Errors are corrected with a corrective invoice (factura rectificativa), as the law requires. Numbering is sequential per series and is never reused.
  • Taxaia creates and keeps invoicing records with their chained fingerprint. When you enable submission to the Tax Agency (VERI*FACTU), the records will be sent on your behalf via web service.
  • To submit on your behalf we need you to authorise us in the Tax Agency's e-office (Sede) through the power of attorney (apoderamiento) for "submission and consultation of invoicing records via web service" in favour of the owner of the service. The application guides you. Without that authorisation nothing is sent. You can revoke it whenever you like in the Sede.
  • Alternatively, the owner of the organisation can upload their own digital certificate. This is optional and governed by the custody policy shown when uploading it. Before doing so, check that the terms of your certification authority allow it; the FNMT recommends not handing the certificate over to third parties.
  • If the Tax Agency rejects a record, the application will show it to you with the reason and the options to fix it. We do not guarantee that records with incorrect data will be accepted, nor are we liable for the tax consequences of that data.
  • You must keep your invoices and records for the periods set by law. Taxaia keeps them while you have an account and, after you leave, for the period in section 12.

7. Connectors and third-party services

You can connect Gmail, Outlook, Telegram, your bank and other services. You authorise each connection yourself, with the permissions shown to you, and you can revoke it from the settings or from the provider itself. By connecting them you also accept those providers' terms. If a provider changes or cuts off access, the dependent feature may stop working without this being a breach on our part.

8. Acceptable use

You may not:

  • Use Taxaia for unlawful activities or upload illegal content or third-party content without the right to do so.
  • Issue invoices for non-existent transactions or alter invoicing records.
  • Try to access data of other organisations or Taxaia systems without authorisation.
  • Overload the service, scrape it or extract data automatically outside the export features.
  • Copy, decompile or resell the software.

If we detect such use we may suspend the account. We will let you know, unless the suspension is necessary to protect other users or comply with the law.

9. Ownership of the data and the software

Your data is yours: invoices, expenses, documents, contacts and everything you enter or that is generated for you. You give us only the permission needed to store, process and display it in order to provide the service. The software, design and trademarks of Taxaia belong to the owner. You receive a non-exclusive licence to use it while your account lasts.

10. Availability, backups and support

  • We try to keep the service continuously available, but we do not guarantee a specific level of availability. There may be maintenance downtime, which we will try to announce and carry out outside working hours.
  • We make daily backups. Even so, we recommend that you download your invoices and export your data regularly.
  • Support is provided by email and through the in-app chat, during Spanish working hours, with no guaranteed response time.

11. Personal data

We process your data as controller to manage your account, billing and support, as set out in the privacy policy. We process the data of your clients, suppliers and employees on your behalf as processors, under the data processing agreement, which forms part of these terms.

12. Leaving, export and deletion

  • You can leave whenever you like: cancel the subscription and ask for the organisation to be deleted by writing to hola@taxaia.es.
  • Before deletion, you can download your invoices, documents and books from the application, and ask us for a complete copy of your data in a structured format. We send it within 30 days.
  • We delete the organisation within 30 days of the request. We keep, with access blocked, only what the law requires us to keep: issued invoices and their invoicing records for the periods set by tax regulations, and the invoices for your subscription for the owner's accounting and tax periods.
  • We may close an unused organisation: no sessions or new data for 24 months and no active subscription. We will let you know by email 60 days beforehand.

13. Liability

  • We are responsible for providing the service with professional diligence and in line with these terms.
  • We are not liable for tax consequences, penalties, surcharges or interest arising from incorrect data you have entered, from proposals you have approved without reviewing them, from authorisations you have not granted in time, or from decisions taken with the service's information without consulting a professional.
  • Our total liability to you for all causes is limited to the amount you have paid us in the 12 months before the event giving rise to it. Loss of profit and indirect damage are excluded.
  • These limits do not apply in case of wilful misconduct or gross negligence, or where the law does not allow liability to be limited.

14. Changes to these terms

We may change these terms. If a change reduces your rights or affects the price, we will notify you by email 30 days in advance; if you do not agree, you may cancel before it takes effect. Minor changes, such as clarifications or new features, are published on this page with the updated date.

15. Governing law and jurisdiction

These terms are governed by Spanish law. For any dispute, the parties submit to the courts and tribunals of Palma, unless a mandatory rule provides for another forum. Before going to court, we undertake to try to resolve it in writing within 30 days.
